Share links: passcodes, limits, and turning a link off

Every published Folio has one link. This page covers the controls on it.

Every published Folio has one link. This page covers the controls on it. They are all in the Share link panel on the Folio.

Anyone with the link can open it, unless you set a passcode. A passcode is 4 to 64 characters and is not part of the link, so give it to the reader separately (a message, a call). Anyone who already had the page open will need to enter it once you set one. The current passcode stays in the Share link panel, where you can copy it, and you can change or remove it at any time.

Limits

Two optional limits apply to the link, not to the Folio itself:

  • Link expires. A date after which the link stops working. Leave it blank for no expiry.

  • Maximum opens. How many different visitors can open it. Each new visitor counts once; the same person coming back does not count again.

Starting new links with your defaults

If you usually set the same passcode, expiry or limit, Settings > Sharing can set them for you on every new link. You can still change any of them on a single link. See Sharing defaults: start every new link with a passcode or limits.

Links on your own domain

With a custom domain on Pro, your Folio links start with an address you own, such as folio.yourname.com. The link is the same in every other way:

  • Every link you copy uses your domain once it's live, on every Folio in your workspace.

  • Links you already sent keep working. A share.tailoredfolio.com link takes the reader to your domain.

  • The passcode, limits and activity stay the same. You don't need to set anything again.

  • Readers enter a passcode once per address. Browsers treat the two addresses as separate sites, so someone who unlocked a Folio on share.tailoredfolio.com enters the same passcode again on your domain.

  • If your domain stops working, or you leave Pro, your links go back to share.tailoredfolio.com, so nothing you sent breaks.

Turning a link off

Turn link off stops it immediately for everyone, including anyone reading it right now, and cannot be undone. If you need to share the Folio again, publish it again: that creates a new link, and the old one stays off.

Archiving a Folio also stops its link until the Folio is restored.

Changing a Folio that is already live

Readers see what was published at the time. Edits you make afterward stay with you until you choose Publish changes, so you can work on a Folio without a reader seeing it half done.

When a live Folio falls behind

Tailored keeps an eye on each live Folio whose link is on and tells you when it has fallen behind your current work. In Folios, it carries a Behind your current work badge. Open the Folio, and the publish box lists what it found under Worth a look:

  • Something changed. A story on the Folio, its variation, a file attached to it, or a piece of Further reading was edited after you published. The box names them. Choose Publish changes to send readers the new version.

  • New stories. A story now has a variation ready to share, and it isn't on this Folio. Choose Review and add to pick which ones to add, or Not for this Folio to stop being told about them on this Folio.

Nothing changes for readers on its own. These notes are there to help, and you can leave a Folio as it is.

Knowing whether a link was opened

The Analytics section on a Folio, and Insights in the top menu, show what happened through your links. Every count is per visit, never per person; a link can tell you it was opened, not who opened it. Every plan shows totals for opens, files opened and reach-outs, and emails you the first time each Folio is opened. Pro adds each visit: which stories were read, what was opened and which links were followed.
