Sharing defaults: start every new link with a passcode or limits

Set the passcode, expiry and maximum opens that every new share link starts with.

Every Folio's share link has three controls: a passcode, an expiry and a maximum number of opens (see Share links: passcodes, limits, and turning a link off). If you usually set the same ones, Sharing defaults sets them for you each time a new link is made.

Open your avatar menu, then Settings, then Sharing under Workspace. Changes save as you go. Sharing defaults are on every plan.

The three defaults

  • Passcode: Off or On. With it on, each new link gets its own 8-character passcode, made without look-alike characters such as 0 and O, or 1, l and I.
  • Link expires: None, or 30, 60 or 90 days after the link is created.
  • Maximum opens: none, or a number from 1 to 1,000. As on any link, each different visitor counts once.

When they apply

Defaults are used only when a link is created:

  • the first time you publish a Folio, and
  • when you publish again after turning a Folio's link off.

Publish changes on a live Folio keeps its existing link, so defaults don't touch it. Changing a default never changes links you already have.

An expiry counts from when the link is created, not from when you started the Folio. A draft you began months ago still gets the full period from the day you publish it.

Your passcode

When a new link gets a passcode, the publish confirmation shows it with a Copy button, so you don't send the link without it. It's also in the Folio's Share link panel as the current passcode. Give it to the reader separately from the link, in a message or a call.

If a passcode can't be set for some reason, publishing stops with an error rather than creating a link you think is protected. Try again, or contact support.

Defaults are only a starting point. In any Folio's Share link panel you can change or remove its passcode, expiry or maximum opens. If you remove the passcode from one link, it stays off for that link.

A custom domain changes only the link's address; defaults work the same way.

What support can see

Tailored support can see whether your workspace has sharing defaults and what they are, so they can help if a link behaves unexpectedly. They never see a passcode.
